Electrical Needs

(Electricity is extremely limited. It is available on a first come first serve basis. Please contact Heather Gastellum, hgastellum@ucdavis.edu, directly to inquire about electricity): Partners are responsible for providing all equipment, including 100 foot long 12 or 14 gauge extension cords and power strips. Shorter extension cords may not be strung together. All equipment and extension cords must be in good working condition, UL listed and meet campus electrical requirements (see attached “Electrical Safety Requirements for Temporary Facilities”). List below EACH item of equipment that requires electricity and specify the amps OR volts AND watts required to each item. Power is limited and items not listed will have no access to electrical power.

Booths may not exceed 10’ x 10’without advance approval from ASUCD. Draw a detailed plan of your proposed vendor booth (see sample plot plan below). HOUSING DAY will provide one 8’ table and two chairs. Please note, HOUSING DAY will not supply any table linens.

INDEMNIFICATION:

Business/vendor partner shall defend, indemnify and hold the University, its officers, employees and agents harmless from and against any and all liability, loss, expense (including reasonable attorneys’ fees), or claims for injury or damages arising out of partner’s activities on University premises but only in proportion to and to the extent such liability, loss, expense, attorneys’ fees or claims for injury or damages are caused by or result from the negligent or intentional acts or omissions of partner, its officers, agents or employees.

RIGHTS OF UC DAVIS:

Should an emergency of any nature, destruction or damage of an exhibit area by fire, wind storm, strikes, acts of God, etc., or a declaration of any emergency by the Government arise prior to the event which would prevent its scheduled opening, it is expressly agreed that UC Davis may retain as much of the payment for partnership as is necessary to cover expenses incurred by the event up to the time of such emergency.

CANCELLATIONS:

In the event a partner finds it necessary to cancel its participation in this event, refunds will be made as follows: for cancellations prior to February 18, 2022 a full refund with deduction of $150 administrative fee; for cancellations 7 days or less prior to the event, no refund. All cancellations must be in writing. Postmarks will be used to determine cancellation date.

I understand and agree to the terms and conditions of this agreement and am aware that participation in this event is contingent upon:

Provision of all information requested at the time I submit this application;
Acceptance of application by event organizers, UC Davis Fire Department, UC Davis Property and Liability and UC Davis Office of Environmental Health and Safety (EH&S);
Adherence to all guidelines provided;
All items or artifacts that I sell and/or exhibit being appropriate and consistent with the purpose of the event (event organizers have the right and authority to refuse and/or remove items or artifacts deemed inappropriate)
Successful completion of UC Davis Fire Department and Office of Environmental Health and Safety (EH&S) inspections; and 6. My refraining from advertising or promoting this event. Publicity is the sole right of UC Davis.

I realize that failure to achieve satisfactory on-site Fire and/or EH&S inspections and/or failure to comply with stated requirements are grounds for being excluded from participation in this event. I agree that fees already paid will not be refunded should my booth not satisfy conditions stated in the Partnership Application and regulation attachments. I am aware that if I have any questions regarding requirements, I may contact EH&S at 530-752-3572 and Fire at 530-752-1236 for assistance.

PARTNERSHIP APPLICATIONS ARE DUE NO LATER THAN FEBRUARY 15, 2022.

Payment must be submitted no later than FEBRUARY 18, 2022. Spaces are limited so please sign up early. Late payments may result in fees and non-payment will result in the inability to participate in HOUSING DAY 2022.
